Portfolio management

I close the month and still don’t know what my portfolio really is.

A dashboard fed straight from your loan servicing system that reconciles against the source every night and won’t publish if it doesn’t tie out. Your team stops reconciling spreadsheets and starts reading the portfolio.

Live at two Mexican lenders: the portfolio on screen comes straight from the client’s loan system, read-only, and the nightly run fails if the numbers don’t tie out.

What it looks like from the CFO’s desk.

  1. Every team has its own portfolio number.

Collections, accounting and leadership bring different figures, and the meeting goes to figuring out which one is right.

  2. Aging buckets get built by hand.

Someone exports, pastes into a spreadsheet and recalculates every month. If they get it wrong, nobody notices until the report.

  3. You can’t see what changed since yesterday.

A loan that rolled into the next bucket or a balance that moved shows up at month-end, not the day it happens.

  4. The system’s monthly billing gets checked by hand.

Someone verifies that interest and fee calculations add up before they go out, loan by loan.

What changes

What changes when the portfolio reconciles itself every night?

There’s one number, and everyone sees the same one. The dashboard reads your loan system read-only, keeps balance history and builds aging buckets. Every night it compares against the system of record: if it doesn’t tie out, the run stops and nothing gets published, and a person sees the gap before it travels into a report or a board meeting.

What does each team see?

The same numbers, with each person’s permissions. Collections sees the delinquency ladder and today’s queue; finance sees balances, aging and history; leadership sees the whole portfolio and how it’s trending. Access is per user and logged. If the question is where a figure came from, the answer is that night’s run against the system of record.

How it runs
The agent
An agent that reads your loan system read-only: it never writes to or changes anything in it. It refreshes the dashboard, runs the reconciliation, sets aside discrepancies and answers questions about the portfolio with the system’s number, not an estimate.
The accountable person
Your portfolio management team owns the agent, and your controller signs the close. For the first 4 weeks, the agent checks with a person on every decision and action. After that, anything high-stakes —every reconciliation gap, every adjustment— always goes through a person; simple things it handles with what it learned, and every action is logged.
The evidence
Every run keeps its reconciliation: what it compared, against which source and with what result. It’s auditable: when someone asks where a number came from, the answer is that night’s run against the system of record.
The stop button
The stop is built into the reconciliation itself: if it doesn’t tie out, it doesn’t publish. Your team can also pause the agent whenever it wants. Since it only reads your system, pausing it doesn’t stop your operation.
The rule that raises the bar

If the portfolio doesn’t tie out, nothing built on it does.

Regulatory portfolio reporting starts here.

Regulated SOFOMs report their portfolio, loan-loss reserves and risk stages to the CNBV, Mexico’s banking regulator, every month in the R04 A series. If the portfolio doesn’t tie out to the system of record, the error flows into the regulatory report, the portfolio rating and the package your funder receives. Reconciling every night means finding the gap before the close, not after.

Proof

Live at two Mexican lenders.

We share it without names, because the clients are under NDAs. Every reconciliation was checked against the client’s system of record, not against the dashboard itself.

  • Zero differences reconciling more than 400 contracts against one lender’s loan system, verified with the agent in production and by querying the system directly. Measured in live operations; client confidential.
  • At another lender, delinquent borrowers tie out to the peso and totals to the cent against the loan system, with balance history and aging buckets.
  • 54 simulation scenarios that match one lender’s sales quote sheets to the cent. Measured in live operations; client confidential.
  • At both, the refresh runs nightly, read-only, and the run fails if the numbers don’t tie out.

Questions

What a lender asks before starting.

What does it mean for the portfolio to tie out to the system of record?
That the number on the dashboard is the same one your loan system holds, loan by loan and in total. It isn’t a copy that drifts over time: every night the system is read again and compared. If there’s a gap, the run stops and nothing is published, and a person reviews it before that figure reaches any report.
Can the agent change balances or post payments in my system?
Not in this design. The agent reads your loan system read-only. Payment posting, adjustments and restructurings stay in your system, with your team. If you later want the agent to suggest how to apply a payment that came in without a reference, the suggestion goes to a person, and that person applies it.
Does this replace my loan system?
No. Your loan system stays the source: that’s where payments are posted, interest is calculated and restructurings are recorded. The agent reads it read-only, reconciles it every night and puts the portfolio in front of every team. If you ever switch systems, the migration is a separate job, done loan by loan with reconciliation proof.
What does it cost, and how do we start?
You start with a free diagnostic: we look at your loan system, how your numbers get built today and where they drift apart between teams, and tell you what can be reconciled every night. Pricing comes in a formal proposal. There is a one-time activation fee and a monthly operations fee, because InnovaBlack keeps it supervised and current.
